What You'll Do:

The Accounting Specialist will be an integral part of our corporate accounting team, providing support for the timesheet, billing, and account payable/receivable (backup) functions of the company. This position has the opportunity to evolve as ASEC grows.

As the Accounting Specialist, your primary responsibilities will be:


Timesheet Administration Responsibilities:

We have a semi-monthly pay schedule with timesheets due on the 15th and the last day of every month. The Accounting Specialist will be very involved with the timesheet processing process as follows:

  • Acting as a POC for employees with timesheet questions and/or issues with the recording of hours worked
  • Reviewing employee timesheets for accuracy, contacting employees when changes need to be made
  • Entering timesheet corrections in ASEC's timekeeping system, Costpoint
  • Contacting employees when timesheets have not been submitted by the deadline, and contacting timesheet supervisors when timesheets have not been approved/signed by the deadline
  • Reviewing paid time off (PTO) hours for accuracy
  • Processing annual PTO payouts
  • Providing input/updates for our annual timesheet training

Billing Responsibilities:

  • Drafting and submitting active invoices
  • Emailing completed invoices to ASEC partners and customers
  • Submitting prime contractor invoices in WAWF
  • Contacting partners and customers to inquire about overdue/unpaid invoices

Providing back-up support to the Accounts Payable team with the following:

  • Entering invoices into the Accounts Payable Module in Costpoint, converting purchase orders, and tracking monthly invoices
  • Reconciling vendor statements with invoices received
  • Ensuring vendor and employee payments are accurate and promptly processed
  • Maintaining AP files, including general ledger journal vouchers, accounts payable documentation, and other miscellaneous filings

Requirements

Who You Are:

The Accounting Specialist will have the following skills, experience, and characteristics:

  • 2 years of accounting-related experience is required
  • Associate's degree, or some college coursework in finance, accounting, or business, is desired
  • Bonus points if you have timesheet, billing, or accounts payable experience working for a government contractor
  • Proficiency with MS Office 365 is required (specifically Excel, Word, Teams, and Outlook)
  • Experience utilizing Deltek Costpoint is highly desired
  • You are able to establish and maintain positive relationships with internal and external customers
  • You have professional and effective communication skills, both verbal and written
  • You take a proactive approach to your work and you're able to accomplish tasks with limited guidance and supervision
  • You have demonstrated critical thinking and problem-solving skills
  • Your organizational skills are impressive, allowing you to effectively manage competing priorities
